Getting Started

Accessing ColaSolar Inventory & After-Sales Portal

Go to the ColaSolar Inventory development/preview URL or your company's designated web link to access the portal.

First-Time Registration & Logging In

The portal uses a pre-approved security system to ensure only authorized staff can access customer and inventory logs.

  1. Self-Registration: If you do not have an active account yet, head to the registration screen.
  2. Select Your Location: Choose your specific Nigerian branch (e.g., Ikeja (Lagos), Abuja FT, Port Harcourt, etc.).
  3. Select Your Role: Be sure to pick the exact role you perform at ColaSolar:
    • Aftersales Intake Agent — If you receive solar units from customers.
    • Service Center Engineer — If you test, troubleshoot, and repair equipment.
    • Branch Manager — If you run operations for your entire branch.
  4. Approval Step:
    • After signing up, your profile will enter Pending state.
    • Under enterprise guidelines, your account must be audited and verified by either the Engineering Director or Branch Manager before you can log in.

Understanding Your Role Dashboard

Once your profile is active, the options you see are strictly based on your role:

Key Workflows

1. Registering an Aftersales Solar Asset (Intake Agents)

When a customer returns a product (e.g., Cola 1000, Cola 3.6kva, or a Winock 2000 motherboard):

  • Click Log New Return in your dashboard.
  • Fill in customer details: name, phone number, location, and Nigerian state.
  • Enter the exact solar product and unique Serial Number.
  • Select the initial activity status (e.g., Pending or Return).

2. Upgrading Status to Repaired (Service Center Engineers)

When an engineer repairs a faulty returned asset:

  • Locate the matching customer solar unit serial number.
  • Input the exact technical issue discovered.
  • Log any consumed materials/parts (such as New Motherboard, Screws, or Cabling).
  • Choose the activity transition (Repaired or Motherboard Repair).

3. Final Customer Pickup (Intake Agents)

Once the system lists the unit as Repaired:

  • When the customer comes to retrieve their system, click the Set Picked Up button next to their record.
  • The system automatically logs the date and computes the total Repair Cycle Days to help us measure turnaround speed!

Next Steps for New Members

  • Verify Your Info: Ensure your branch designation matches the service office you reside in.
  • Save Your Password: Choose a strong, memorable credentials set to keep the portal secure.
  • Contact Team Lead: If your registry status is currently shown as Pending Review, please alert your Branch Manager or the Engineering Director (lijinlei@gmail.com) to activate your profile.
